Privacy Policy

Last updated: [date]. This policy explains what PlanPass collects, why, and how it's handled.

What we collect

When you use the eligibility check, intake form, or contact us directly, we collect: your name, email, phone number, property address, details about your proposed building work, sketches, photographs, and any documents you upload (such as existing plans).

Property records ordered on your behalf

Once you've signed a Letter of Authority, we order a Record of Title from Land Information New Zealand (LINZ) and a property file from your local council. These become part of your project file and are used solely to prepare your consent application.

Why we collect it

Who we share it with

We share your information with the Licensed Building Practitioner contracted to review and certify your file, and with your local council as part of lodging and progressing your application. We do not sell your information.

Overseas service providers

Some of the tools we use to run this service (such as form processing, file storage, or drafting support) may store or process data on servers located outside New Zealand. Where this happens, we take reasonable steps to ensure your information is protected to a standard comparable to the New Zealand Privacy Act 2020, consistent with Information Privacy Principle 12.

How long we keep it

We retain project files for as long as reasonably necessary to complete your consent, respond to any Requests for Information, and meet our own record-keeping obligations, after which it is deleted or anonymised unless you ask us to retain it for longer.

Your rights

You can ask us what personal information we hold about you, ask us to correct it, or ask us to delete it, subject to any legal obligation we have to retain it (for example, records relating to a lodged consent application). Contact us at privacy@planpass.co.nz to make a request.

Pilot phase note

If your project is part of our pilot phase, anonymised details may be used as a case study only with your separate, optional consent — never as a condition of using the service.
